Voluntary disclosure of your personal data to the University of St. Gallen and third parties through explicit consent and subsequent fulfillment of the contract.
The following data will be collected as part of your registration:
First name, Last name, Email address, University, Payment status, Participant status (participant vs. speaker)
After clicking the «register» button, this data will be sent to an HSG supplier: Microsoft, Redmond, Washington 98052-6399 (USA)
Within the Switch framework agreement, this supplier acts as a commissioned data processor bound by a specific commissioned data processing agreement (DPA) for M365. All personal data is accessible to HSG and the data processor. The data will not be passed on to other third parties.
Your data will be processed in M365 - Excel. If you communicate with ACA or an ACA employee by e-mail or if they send information to participants, this also takes place via Microsoft Office tools (M365 - Outlook).
Your data will be passed on to the cooperation partner "University of Lausanne". This partner is bound by a cooperation agreement with the HSG and does not process data on behalf of the HSG (controller-con-troller relationship). At the University of Lausanne, your data is stored in the university's own electronic entities. The cooperation partner can provide information on its specific data protection provisions on re-quest: sarac@unil.ch
This data transfer takes place via Switch-Drive (server). Therefore, Switch can temporarily obtain knowledge of this data. Switch is a foundation set up by the Confederation and the cantons. The Confed-eration, the cantons, and the Swiss universities sit on the foundation board and define the foundation's mandate. Formally, it is a supplier that is bound by contract: Switch, Werdstrasse 2, 8004 Zurich (CH)
In addition, pictures are taken during events organized by HSG employees or Uni Lausanne employees themselves. This data is collected and stored by designated employees on their own equipment and then handed over to the HSG and immediately deleted from their own equipment. The HSG stores this data in the storage systems of the supplier Microsoft and passes it on to third parties.
Your personal data will be processed by the University of St. Gallen for the following purposes:
- Organization and administration of the booked event
- As soon as your participation in the event is secured, the fulfillment of contractual agreements
- Sending information in connection with events (newsletter, conference emails, «save the date»)
- Information on the homepage (https://aca.unisg.ch/de/themen/tami-dinh/sarac/), including the conference program (name, title)
- Reporting on the event on own homepage https://aca.unisg.ch/de/themen/tami-dinh/sarac/) and in social networks (LinkedIn) using pictures taken during the events
Data will only be passed on to the University of Lausanne for organizational and administrative purposes.
The personal data under the jurisdiction of the HSG, the University of Lausanne, and data that is passed on via the infrastructure of the Switch Foundation is stored in Switzerland.
The social networks (third parties) referred to in point C.4. provide information in their data protection provisions about the locations where data is stored. They may transfer personal data abroad, particularly to the USA, and store it there. With regard to ensuring compliance with Swiss data protection law and compliance with any applicable GDPR on the basis of the effectiveness of specific agreements and any ap-plicable additional guarantees, these third parties provide information in their data protection declarations.
The data stored in the HSG will be stored for as long as necessary to fulfill the purpose according to point C.4. This is the case for a maximum of two [2] years after collection, as all data is transferred in full to the University of Lausanne after this period and deleted at the HSG.
Group and landscape images in connection with events held will be stored for as long as is necessary to fulfill the purpose set out in point C.4.
Individual images as well as published names and titles in connection with events will be deleted ten [10] years after creation, provided they are under the control of HSG.
The social networks (third parties) referred to in point C.4. provide information in their data protection provisions about the corresponding duration of data storage in their systems.
Regarding your personal data, you have at any time the:
- Right of access
- Right to rectification or correction
- Right to erasure the data
- Right to restriction of processing
- Right to data portability (data transferability)
- Right to withdraw previously granted consent to processing
Your rights can be asserted by emailing ACA sarac@unisg.ch.
When exercising the "right to erasure", the "right to restriction of processing" and the "right to withdraw previously granted consent", all personal data will no longer be processed, deleted within five [5] working days, and confirmed to the applicant by email. The consent originally given and the email addresses will then also be deleted.
Please also note the information under point C.11.
The HSG may support the further assertion of rights by data subjects against third parties to the extent that this is objectively possible.
You have the right to appeal to the authorities.

Unsubscribing from the newsletter (opt-out) can be done independently of any other exercise of rights and does not influence other data processing.
The University of St.Gallen is bilingual (German and English), and according to Art. 123 para. 1 of the Uni-versity Statute (sGS 217.15), the administrative language is German. Only the German version is legally binding.
All payments must be made in Swiss Francs (CHF). Admission is granted only if SARAC has received the registration fee. The invoice must be paid within 30 days.
1. In case of cancellation prior to January 15, 2027, we can refund 50% of the registration fee. For cancellations on or after January 15, 2027, there will be no refund.
2. If you are unable to attend SARAC, a substitute delegate is welcome to attend the conference at no extra charges. In this case, the original participant needs to provide a letter of authorization together with a letter of cancellation, including the name of the substitute attendee. This information must be sent to info@sarac-conference.ch prior to January 15, 2027.
3. All cancellations must be made in writing via e-mail to the SARAC Conference manager (info@sarac-conference.ch). Attendees who do not cancel and do not attend will not be eligible for any refund.
4. The SARAC Organizing Team reserves the right to change the venues, if necessary.
5. In case SARAC cannot take place or is postponed due to events beyond the control of the SARAC Organizing Team (force majeure*), the SARAC Organizers cannot be held liable by attendees for any damages, costs, or losses incurred, such as transportation costs, accommodation costs, financial losses, or any other indirect losses or consequential damages. In these circumstances, the Organizers reserve the right to retain the registration fee and use it for a future edition of SARAC or issue a refund after deducting costs already incurred for the organization of the conference.
*An event of force majeure shall include, without limitation, Acts of God, war, riot, fire, explosion, accident, flood, earthquake, sabotage, Internet failure/blackout, strike of employees other than those of SARAC, inability to obtain power, fuel, material or labor or acts of any government.
